ORC ENROLMENT TERMS & CONDITIONS

Please read carefully and file for future reference. Failure to read this document will not be accepted as a reason for failing to comply with the terms and conditions.

Application for Enrolment – New Students:
Applications may be made by completion of an ORC Enrolment Form. Forms are available at the ORC Admin or can be downloaded from the website – www.orangecon.org.au.
Applications are acknowledged within 7 working days of receipt, and places allocated based upon availability. Applicants that cannot be placed within two weeks will be placed on a waiting list and the applicant notified. All new enrolments are subject to a one-off $5.00 enrolment fee.

Enrolment:

Enrolment is an agreement to engage the services of a teacher at a particular day and time each week. Enrolment is required for a minimum of one school term (approx. 10 weeks), unless on an agreed 5- week trial. Five weeks is our minimum enrolment requirement. An enrolment becomes active once the lesson, ensemble or class details have been confirmed and fees have been paid. The enrolment will be deemed to be ongoing subject to mutual confirmation and agreement prior to each term. An invoice will be generated at the beginning of each term. Fees are payable within 14 days or an agreed payment plan arrangement must be made to secure the enrolment. Should you not receive your invoice, please contact ORC Admin to issue you a copy.

Fees:

Fees are payable prior to commencement of music lessons, ensembles or classes. Invoices will be issued for the full term (enrolments after the commencement of the term will be invoiced pro-rata except ensembles – full ensemble fees are applicable). Fees can be paid through the various options outlined on the invoice. Failure to pay fees in full in advance or via an agreed payment plan, will result in immediate suspension of lessons until all monies due have been paid. Lessons will be cancelled if outstanding fees are not settled within 7 days after the first overdue notice. A full list of fees is available at www.orangecon.org.au. Any unpaid fees requiring the use of a debt recovery agency will incur an additional surcharge of 20%. All late invoices will incur a $10.00 late fee.

Payment Plans:

Students can elect to pay their fees by an agreed ORC payment plan. Payment plans are broken down into equal instalments with all monies due by the end of the current term. Please note, if agreed payment instalments are not paid by the due date, you risk suspension of future lessons until all monies due are paid in full. Lessons will be cancelled if outstanding fees are not settled within 7 days.

The ORC reserves the right to cancel or amend payment plans at any time. Please enquire about setting up a payment plan with ORC Administration.

Missed lessons:

It is expected that students enrolled at the ORC will commit to attending the full term’s lessons, and that the teacher will provide the full term’s lessons;
Teacher absence: If a teacher is absent from a lesson, a make-up lesson will be given or credits will be applied to the student account for the subsequent term.

Student absence: Students must notify the ORC Admin and their teacher at least 24 hours in advance of their intention to miss any lessons. If due notice was provided, a make-up lesson will be given or credits will be applied to the student account the following term. Please note, a student is allowed a maximum of two missed lessons (with due notice) per term – extenuating circumstances may be considered and an application must be made directly to the ORC Business Manager via the ORC Admin.

Credits expire at the end of the following term. If due notice wasn’t provided for a missed lesson, or the two maximum missed lessons were exceeded, the lesson will be forfeited and no make-up lesson or credits/refunds will apply.
Make-up lesson: A make-up lesson may be held (if conditions are met as above) and will take place at an agreed time between the teacher and student. The make-up lessons must be completed by the end of the first week of the succeeding school holidays.

Refunds: Refunds will only be given in the event that the ORC discontinues a class or under special circumstances (i.e. serious illness). A request for refund must be made in writing to the ORC Admin.

Discontinuation or Deferment of lessons:
Notification to discontinue or defer lessons must be made in writing at least two (2) weeks in advance of your intention to cease lessons. Notice must also be received 48 hours before the next lesson. Failure to do so will result in the lesson being considered a normal lesson with the discontinuation notice period commencing the following week. Fees will remain payable until written notice to discontinue or defer lessons has been received. Please note: Notification of intention to discontinue must be made in writing to the ORC Admin, not through your teacher.

Contact Details

It is the student’s (or parents/guardian if under 18) responsibility to ensure that ORC Admin has updated contact information for the student at all times. If your details do change, please contact ORC Admin to update your details.

General:

The ORC reserves the right to decline or cancel an enrolment, cancel classes or programs at any time due to insufficient enrolments and change the teacher for any tuition at any time. The ORC is not responsible for students outside lesson times. Parents and/or guardians are advised not to leave students unattended before or after lessons and to make suitable arrangements for drop off and pick up of students. Use of Orange Regional Conservatorium services implies agreement to these Terms and Conditions.
